Configuring StackSpend
Once your providers are connected, configure budgets, tags, team access, and reports to get the most out of StackSpend.
Setting up budgets
Budgets help you track whether your spend is on target. Navigate to Dashboard → Budgets to create your first budget.
- Monthly budget — set a target monthly spend for your entire organisation or per provider.
- Alert thresholds — configure amber (e.g. 80%) and red (e.g. 100%) thresholds for your daily reports.
- Auto-budgets — let StackSpend calculate budgets automatically based on your historical spending patterns.
Budget status is reflected in your daily Slack or email report. Green means on track, amber means approaching your threshold, and red means the threshold has been exceeded.
Organising with tags
Tags let you group costs by team, project, environment, or any other dimension that matters to your organisation. Navigate to Dashboard → Tags to get started.
- Create tags — define tags like "Production", "Staging", "ML Team", or "Project Alpha".
- Tag rules — automatically apply tags based on provider, account, service, or project patterns. For example, tag all GCP Compute Engine costs as "Infrastructure".
- Filter by tags — use tags in the Data Explorer to view costs by team, project, or environment.
Tags are applied automatically after each cost sync. New cost data is tagged based on your rules without any manual intervention.
Inviting team members
Share cost visibility with your team. Navigate to Settings → Team to invite members.
- Invite by email — send invitations to colleagues. They'll receive a link to join your organisation.
- Roles — assign admin or member roles. Admins can manage providers, integrations, and billing. Members can view dashboards and reports.
All team members see the same cost data. StackSpend uses organisation-level isolation, so there is no per-user data filtering.
Daily report preferences
Customise when and how your daily cost report is delivered. Navigate to Settings → Daily Report.
- Delivery time — choose when reports are sent. Default is 9:00 AM in your organisation's timezone.
- Delivery days — choose weekdays only, every day, or a custom schedule.
- Channels — deliver reports via Slack, email, or both.
- Currency — display costs in your preferred currency (USD, GBP, EUR, and more).
Using the Data Explorer
The Data Explorer is your tool for investigating costs in detail. Navigate to Dashboard → Data Explorer.
- Filter — narrow down by provider, service, category, tag, project, date range, or user.
- Group by — pivot the view by provider, service, category, or project to spot patterns.
- Chart and table — toggle between a time-series chart and a detailed line-item table.
- Export — download cost data as CSV for further analysis.
